Checklist for new international students arriving at Ghent University - spring semester 2020-2021

Welcome at Ghent University! This is a short checklist of things you can or should do before your arrival, after your arrival and when you leave Belgium.

Things you can do before your arrival in Ghent 

  • Read on our lovely city of Ghent!
  • Read our Welcome Guide. This will answer a lot of questions you may have.
  • Enrolment is done back office.
    Please e-mail enrol@ugent.be to finalize.
  • Check your address details in Oasis and make sure your address in Belgium has been added. Your student card will be sent to this address.
  • Activate your Ghent University Account.
    When your enrolment is finalized, you will receive an e-mail (subject: “change of privacy settings”). This will enable you to activate your Ghent University account which is necessary to join in on Teams meetings, online classes, Ufora,…
  • Check your health and travel insurance

When you have arrived in Ghent 

  • Check in at the University Halls of Residence (if applicable) and if you should quarantine or isolate, please do so. Follow the guidelines as instructed by the housing office, and by the Belgian government. More information is in our FAQs.

After your quarantine or when you are allowed to go out:

  • City of Ghent - registration: complete the arrival form online.
  • Exchange student: Arrival form.
    When your home university has requested the arrival form to be signed, please bring this to your appointment with the International Support Team or send this to international@ugent.be  
  • Health insurance: More information on the UGent insurance webpage
    • E.A and Switzerland:
      • European Health Insurance Card (EHIC)
      • Register with a Belgian health care fund
    • Non-E.E.A:
      • legally obliged to have a health insurance.
      • Contact a health care fund.
  • Open a Belgian bank account if necessary. How? Check the FAQs
  • Degree students: check your online curriculum in Oasis.
  • Exchange students: upload your fully signed Learning Agreement in Oasis.

During your stay

  • Have fun 😊
  • Join one of the student organizations! Have a look in our welcome guide which ones there are in Ghent!
  • Maybe take a language course at the University Language Center.
  • When you are enjoying Ghent, don’t hesitate to tag us in your pictures on Instagram @internationalugent

When you leave Belgium, do not forget to

  • Check with your faculty if all academic matters are OK.
  • Exchange students: contact International Support Team to sign your confirmation of departure.
  • Degree students: collect your diploma and certified copies, or contact somebody who acts as your proxy should you already be abroad.
  • Unregister at the city of Ghent.
  • Close your Belgian bank account.
  • Check what measures you need to take upon arrival abroad, should there still be a COVID-19 pandemic.
